Cancellation Policy

The reservation and contracting of any of the trips included in this programme implies full acceptance of these general contractual conditions.

These general conditions shall be governed by Royal Legislative Decree 1/2007 of 16th November, approving the consolidated text of the General Law for the Defence of Consumers and Users and other complementary laws, (BOE 287, 30th November 2007), and other provisions in force.

The contractual relationship between the organizing agency, and the client is governed by these general conditions, and by the technical specifications of the trip which details its final content. The client has the obligation to check the documentation received by the organizing agency before the start of the trip, and any doubts or clarifications in this regard must be notified before the start of the trip.

ORGANIZATION: The technical organization of the trips included in this programme has been carried out by Orbis Ways, S.L. CIF:B67018630 with its registered office at Calle Julián Camarillo 29, D2, 4D, Madrid, Spain. CP: 28037. Online travel agency duly registered with the General Directorate of Tourism in the Community of Madrid.

The Agency has mandatory liability insurance as required by law. Similarly, all our trips include travel assistance insurance.

Cancellation insurance is an optional service that the customer can contract if they wish to hire when confirming the trip.

STEPS TO TAKE IN ORDER TO MAKE A BOOKING
1. BOOKING AND MANAGEMENT
A trip is confirmed at the time we receive the deposit (20% of the total reservation cost). We will send you an email confirming receipt of the deposit.

2. DEPOSIT PAYMENT
Please note that the deposit must be made to complete the reservation.

You can confirm the reservation by payment by credit or debit card or by bank transfer.

3. COMMUNICATION
The reservation will not be considered confirmed until you have received an email confirming the payment of the reservation.

4. BOOKING CONFIRMATION
Once we have received the booking form and the deposit for 20% of the reservation, as management costs, we will send you communication with formal confirmation of the reservation. This deposit will be discounted from the final price of the trip.

5. PAYMENT OF OUTSTANDING BALANCE
All other payments must be paid 30 days prior to the start of the trip. We will contact you to proceed with the payment of the remaining amount for the trip. A trip can be booked less than 30 days in advance and, in this case, the total amount of the trip requested must be paid at the time of booking the trip.

CONTRACTED AND OPTIONAL SERVICES
The contracted and optional services are those specified in the technical specifications for the trip provided after payment of the reservation.

DOCUMENTATION
All persons registered for the trip are responsible for having in order the necessary documentation for the country being visited (D.N.I., passport, visas, health measures, etc.). With regard to questions related to documentation, the Agency can inform the traveller, but it is the customer’s responsibility to confirm them to the competent authorities. In the event that, for lack of or mistakes in the necessary documentation, the customer is obliged to cancel or leave the trip, the agency will apply the conditions indicated in the cancellation policy.

MODIFICATION TO BOOKING DATES

CONTRACT MODIFICATION
If, prior to the start of the trip, the organizer is obliged to significantly modify the essential elements of the trip for a reason other than force majeure, it must notify the consumer and user, so that the user can choose between rescinding the contract or accepting the modifications of the trip initially contracted. The consumer and user must communicate the decision he/she makes to the agency within three days of being notified of such an eventuality.

In the event that the consumer and user do not notify their decision in the terms indicated, it will be understood that they opt for the termination of the contract without penalty.

In the event that the modification is by force majeure, the travel agency must notify the consumer and user, so that the user is eligible for a voucher for the amount paid to enjoy on a future trip or a change of starting dates to their trip. The consumer and user must communicate their decision to the agency within three days of being notified of such an eventuality. In the event that the consumer and user do not notify their decision in the terms indicated, they will be deemed to opt for the voucher.
